Most people never ask this, and then something about a journey makes them curious: a chauffeur who knew a back route through a village, or one who understood a hospital's drop-off arrangements without being told. Neither was luck. Allocation is one of the quieter parts of arranging a booking and it has more effect on the day than the choice of car does.

It is also the part you can influence most easily, simply by describing the journey properly at the enquiry stage. A booking described as an airport transfer and a booking described as an airport transfer with a nervous elderly passenger and a wheelchair produce different allocations. Here is what we are weighing up, and what to tell us so the weighing is accurate.

What we weigh up first

The vehicle comes first, because not every chauffeur drives every class of car and a Rolls-Royce is not simply a larger saloon. Then geography: a chauffeur who works a region regularly knows which entrance a business park actually uses and where a car can wait on a particular high street, and that knowledge does not transfer from a map. Then the timings, and what they demand of a working day.

Rest sits underneath all of it and quietly rules several options out. A pre-dawn collection and a late finish cannot belong to the same chauffeur, and a long touring day cannot follow another long touring day without a proper break in between. This is the constraint that most often explains why a request cannot be met, and it is not one we will bend for convenience.

The requests that change the answer

Anything you tell us about the passengers or the purpose of the journey feeds directly into who is sent. Some of it is obvious, such as a language request or somebody who needs help getting into the car. Some of it is less so: a first job interview, a hospital appointment, a funeral, a child travelling alone with a booking made by a parent hundreds of miles away.

You are not obliged to explain anything, and plenty of bookings arrive with nothing beyond addresses and times, which is entirely fine. But where the context would change how the day should be handled, telling us is the single most effective thing you can do.
